How AI agents can automate business workflows

An AI agent is not a colleague. It is software that can call tools in sequence: search, fetch a record, draft a message, open a ticket. Automation happens when that sequence matches a workflow you could already draw on a whiteboard.

Companies get into trouble when they ask an agent to “handle sales” or “run support”. Those are departments, not jobs. A job looks like: given this email, extract the order id, look it up, and draft a reply for a human to send.

Pick a workflow you can measure

Good candidate workflows have volume, repetition, and a definition of done. Research briefs, document classification, weekly reporting from systems that already hold the numbers, and first-draft customer replies are common.

Bad candidates are negotiations, medical or legal advice, and anything where a wrong action cannot be undone. Those need people, or at least a mandatory approval step.

Give the agent tools, not vibes

An agent without tools is a chatbot. An agent with too many tools is a security incident. The tool list should be boring: a search API, a CRM read, a ticket create, a document store.

Stop conditions matter. If retrieval returns nothing, the agent should say so. If an API errors, it should retry once and then escalate. Silent failure is how automation earns distrust.

Human review is a feature

Many of the best deployments are “draft, then human”. That still saves time. Full autonomy is for low-risk, well-tested jobs.
